Global Email Policy

Purpose

This policy governs the appropriate and authorized use of 糖心logo入口's global email lists to ensure critical and universal information is shared effectively across the institution, while maintaining compliance with institutional policy development and communication standards.

Scope

This policy applies to all 糖心logo入口 employees and students. Because members cannot unsubscribe from global distribution lists, access and permissions to use the lists are moderated and restricted to ensure institutional consistency and legal compliance.

Policy

The ability to send mass emails on campus is limited to the following offices:

  • Vice Presidents/Provost
  • Registrar
  • President鈥檚 Office
  • Campus Police
  • Chaplain

All mass emails to be distributed across campus must be submitted to the appropriate Vice President/Provost, or their authorized designees, who shall determine whether it is appropriate and/or necessary to send the mass email.

Sensitivity should be exercised regarding the number of times the same email is sent as a mass email.

Content must be official University business that is significant and relevant to all employees and/or all students receiving the message. Event announcements, lost and found announcements, for-sale announcements, and solicitations are typically not allowed.

This policy supersedes all other 鈥渆mail list鈥 policies regardless of origination.

Accountability

Violations of this policy may result in disciplinary action in accordance with employee or student handbooks. Abuse of global email list access may result in revocation of email privileges.

Owner

This policy is owned and maintained by the Office of Marketing and Communications, in coordination with the Office of Information Technology and the Office of the President.
